Best Cold Email Software for B2B Outbound (2026)

On this page
Here's a setup I see every few weeks. A founder decides to "do cold email properly" and buys a tool on a Friday. By Monday, the company's main domain is connected, three thousand contacts from a list someone bought are uploaded, open tracking is on, and the first step of a six-step sequence goes to all of them at once.
By Wednesday the bounce rate is in double digits, the replies are mostly autoresponders, and someone in finance is asking why invoices to customers are landing in spam.
The tool wasn't the problem. Almost every tool on this list would have let them do that, and almost every one would have done fine with a better setup. So before you compare features, know that the software is a small part of the result. The list, the domains and the email decide the rest.
With that said, the software still matters, and the differences are real. I'm Rodrigo, co-founder of Romar AI. We run cold email for B2B companies that sell to ecommerce brands, and we send on Instantly (we're an Instantly Solutions Partner). I've included that up front so you can weigh my opinions accordingly. Every price below comes from the vendor's own pricing page, checked on October 23, 2026.

What does cold email software include?
The basics are the same everywhere now. Here's what to look at:
- Mailbox management. Connecting many sending accounts (Google Workspace, Microsoft 365 or others) and rotating sends across them.
- Warmup. Automated low-volume sending and engagement so new mailboxes build a reputation before they cold-send.
- Sequences. Steps, delays, conditions, and text variations (spintax) so not every recipient gets an identical email.
- A shared inbox. Replies from every mailbox in one place, with labels for interested, not now, wrong person and out of office.
- Deliverability controls. Daily caps per mailbox, sending windows, bounce protection, and the ability to turn tracking off.
- Integrations. CRM sync, webhooks, an API, and Slack alerts.
What it doesn't include, no matter what the homepage says: knowing who to email and having something worth saying. I've watched teams spend a week comparing warmup features and twenty minutes on the list. Do it the other way around.
1. Instantly: Best for sending from many mailboxes
Instantly is a cold email platform built around connecting many mailboxes, warming them and sending sequences across them. It also sells lead data and a CRM.
Key features
- Unlimited email accounts and unlimited warmup on its outreach plans.
- Campaigns with text variations, sending schedules and per-mailbox limits.
- Unibox, a shared inbox across every account.
- Separate credit plans for its lead database.
Pricing
Outreach plans billed monthly: Growth $47 a month, Hypergrowth $97 a month, Light Speed $358 a month. Annual billing brings Growth down to $37.6 a month.
Where Instantly shines
- The pricing model fits how cold email is actually run in 2026: many small mailboxes on separate domains, each sending a little. Adding mailboxes doesn't add seats.
- It's simple. A new team can get a clean campaign live in an afternoon.
- Why we use it: at Romar AI we run dedicated inboxes for each client at low volume per inbox, and Instantly makes that cheap and manageable. Its shared inbox is where Margaux handles replies before they go to the client.
Where Instantly falls short
- No native LinkedIn or calling. If you want multichannel in one tool, look at lemlist or Reply.io.
- The lead data is a separate purchase. Fine, but budget for it.
Who Instantly is best for
Teams and agencies running many mailboxes who want unlimited accounts and warmup at a predictable price.
2. Smartlead: Best for agencies and power users
Smartlead is a cold email platform popular with agencies, priced by monthly send volume and contacts.
Key features
- Unlimited mailboxes and unlimited warmup.
- Sub-accounts and client management for agencies.
- An API, webhooks and a managed pre-warmed infrastructure add-on.
Pricing
Billed monthly: Base $39 a month, Pro $94 a month, Unlimited Smart $174 a month, Unlimited Prime $379 a month.
Where Smartlead shines
- The lowest entry price among the big sending platforms.
- Agencies like the client management and white-label options.
Where Smartlead falls short
- The Base plan's send limit is low for anyone running several domains. Most teams end up on Pro or above.
- More settings, more ways to get them wrong. I'd call that a feature for experts and a trap for beginners.
Who Smartlead is best for
Agencies and technical operators who want control and like to tinker.
3. Salesforge: Best for cheap unlimited senders plus LinkedIn
Salesforge is a cold outreach platform with email and LinkedIn senders and an AI SDR product.
Key features
- Unlimited email senders on the entry plan.
- A LinkedIn sender included on Pro, unlimited LinkedIn senders on Growth.
- An AI SDR called Agent Frank, sold separately.
Pricing
Billed monthly: Pro $40 a month (unlimited email senders, 1 LinkedIn sender), Growth $80 a month (unlimited email and LinkedIn senders). Agent Frank is $499 a month, billed quarterly.
Where Salesforge shines
- Cheap for what you get, especially with LinkedIn included.
- Agent Frank, its AI SDR, is listed on the pricing page as available in 20+ languages, useful if you sell into Mexico.
Where Salesforge falls short
- The AI SDR is a different product with a different price. Don't confuse the two when budgeting.
- AI-written emails still need a human editor. That's true for every tool here, but it's more tempting when the button is right there.
Who Salesforge is best for
Small teams that want email and LinkedIn on a tight budget.
4. lemlist: Best for polished multichannel sequences
lemlist is a sales engagement tool known for personalized email and LinkedIn sequences.
Key features
- Email and LinkedIn steps in one sequence, with conditions.
- Senders tied to users: its pricing page lists 5 email senders per user.
- A built-in lead database.
Pricing
Email plan $69 a month billed monthly ($55 a month annually). Multichannel $109 a month billed monthly ($87 annually).
Where lemlist shines
- The sequence builder is pleasant to use.
- Multichannel without stitching tools together.
Where lemlist falls short
- Priced per user, so it gets expensive for teams running many mailboxes. Thirty mailboxes means six users, whether or not six people exist.
Who lemlist is best for
Sales teams that want one polished tool for email and LinkedIn.
5. Saleshandy: Best for a low entry price
Saleshandy is a cold email platform with unlimited email accounts and a lead finder.
Key features
- Unlimited email accounts and warmup.
- Sequences with variants and a unified inbox.
- A B2B lead finder.
Pricing
Billed monthly: Starter $41, Pro $99, Scale $189. Annually: Starter $34, Pro $76, Scale $149. There's a 7-day free trial.
Where Saleshandy shines
- Big discounts for annual billing.
- A free trial to test before you commit.
Where Saleshandy falls short
- Smaller ecosystem of integrations and community playbooks than Instantly or Smartlead.
Who Saleshandy is best for
Budget-conscious teams that know they'll stay a year.
6. Woodpecker: Best for small teams
Woodpecker is a cold email tool priced by how many prospects you contact each month.
Key features
- Free, unlimited email verification through Bouncer.
- Unlimited team members.
- A LinkedIn add-on.
Pricing
Priced on a slider by contacted prospects per month. I couldn't capture a fixed starting number from the page, so check the slider for your volume.
Where Woodpecker shines
- Free verification inside the tool removes one step and one bill.
- Unlimited team members is generous for small sales teams.
Where Woodpecker falls short
- Prospect-based pricing makes high-volume testing expensive.
Who Woodpecker is best for
Small teams with steady, moderate volume who want simple pricing per prospect.
7. Reply.io: Best for sales teams wanting calling too
Reply.io is a multichannel sales engagement platform with an AI SDR.
Key features
- Email, LinkedIn, calls and tasks in one sequence.
- An AI SDR product.
- An agency plan.
Pricing
Email Volume from $59 a month, Multichannel from $99 a month, AI SDR from $500 a month, Agency from $166 a month. LinkedIn is $69 a month per account.
Where Reply.io shines
- Calling and LinkedIn alongside email.
Where Reply.io falls short
- The many add-ons make the real cost harder to estimate.
Who Reply.io is best for
Sales teams with SDRs who call as well as email.
8. Apollo: Best for database plus sequencing
Apollo is a B2B contact database with sequencing, a dialer and a CRM layer.
Key features
- A large contact database with search filters.
- Sequences included on all accounts, per its pricing page.
- Free, Basic, Professional and Custom plans.
Pricing
Apollo lists Free, Basic, Professional and Custom plans, but the dollar amounts didn't load when I checked its pricing page, so I'm not quoting them.
Where Apollo shines
- Data and sending in one place, which is handy when you're starting out.
Where Apollo falls short
- Sending cold email from the same tool you pull the data from makes it easy to skip verification and segmentation. For ecommerce brands specifically, its company data is thinner than store-level sources.
Who Apollo is best for
Early teams that want one tool for finding and contacting people.
How to choose cold email software
1. Count mailboxes, not users
If you'll run 10 or 30 mailboxes across several domains, per-seat pricing gets ugly fast. Instantly, Smartlead, Salesforge and Saleshandy price around unlimited mailboxes.
2. Decide if you really need multichannel
If someone on your team will actually work LinkedIn every day, lemlist, Salesforge or Reply.io make sense. If nobody will, you're paying for steps that get skipped.
3. Check you can turn tracking off
Open and click tracking add a tracking domain and pixel to every email. We run with tracking off. Make sure the tool lets you.
4. Look at the inbox
You'll spend more time reading replies than building sequences, especially since a big share of raw replies are autoresponders. A clean shared inbox with labels matters more than the sequence builder.
5. Test with real volume before committing
Most of these have trials or monthly billing. Run one real campaign for a month before you go annual.

Or have cold email run for you
If you'd rather not run domains, warmup, lists and copy yourself, that's what we do at Romar AI for B2B companies that sell to ecommerce brands. We build the brand list from store data, write short emails to the person who owns the problem, send from dedicated inboxes on Instantly, and hand interested brands to your team. We run the cold email. We pay for the data and the sending stack. Start with a trial, then a retainer priced on the call.
Book a call with Romar AI if you'd like us to size your market.
So, which cold email tool should you pick?
For most teams sending from many mailboxes, Instantly or Smartlead. Instantly if you want simple, Smartlead if you want knobs. If you want LinkedIn on a budget, Salesforge. If you want a polished multichannel tool and have the budget, lemlist. If price is the main concern and you'll commit for a year, Saleshandy. If you have SDRs who call, Reply.io.
And whichever you pick, set up separate domains, verify every list and write less. The tool will thank you.
FAQs
What's the best cold email software in 2026?

Can I send cold email from my main domain?
You can, but you shouldn't. Use separate domains and mailboxes, warmed before you send, so a bad campaign never touches the domain your customers and invoices use.
How much does cold email software cost?
Entry plans run about $39 to $69 a month on the tools here, billed monthly. Add domains, mailboxes, data and verification on top.
